Welcome

Leasing Agent

You turn prospects into residents — pricing vacant units, processing applications and screening, writing leases, and onboarding new arrivals. But your role runs deeper than the paperwork: to a prospect and a brand-new resident, you are the face of the property. The impression you set in those first interactions becomes the tone they come to expect from home.

First impressions carry outsized weight. A prospect decides how they feel about a community long before they read a word of the lease — they read it in how quickly you respond, how clearly you explain, and how genuinely you seem to have their interests at heart. People aren't just renting a unit; they're deciding whether to trust the team that will manage where they live. When a new resident senses that the staff is organized, responsive, and looking out for them, that confidence carries through the entire tenancy.

That trust is built and kept through consistent, reliable communication. Residents want a clear, direct line to their property team — one place they know to go, that they know will be seen and answered. Consistency is what turns a line of communication into reassurance: when every message, request, and update flows through the same dependable channel, residents stop wondering how to handle a situation and simply know. That certainty is a large part of what lets someone feel at ease in their own home.

The Platmetrix Resident Portal is that channel. Every time you point residents to it — for a question, a payment, a maintenance request, a lease document, a community notice — you reinforce one predictable place to be heard. The more consistently you and the whole team use it, the more it becomes second nature for residents, and the more it bolsters that quiet, steady spirit of home: they always know exactly where to turn and exactly what to expect.

Set the tone early. At move-in, walk every new resident through the portal and make it their default — same channel, same responsiveness, from day one. That consistency is what turns a new tenant into a resident who feels genuinely at home.
Access levels. For every property you're granted None, View, or Edit on PropIQ (and separately on AssetIQ). View lets you read; Edit lets you change things. If a button is missing or a page says you don't have permission, your access level is why — ask your administrator or regional manager.

Signing in

  • Go to your Platmetrix site and open the operator app (the Client login link, or propiq.html).
  • Type your email and password.
  • Press Sign in.
What it does

Checks your credentials and opens your workspace showing only the properties and tools your role allows. Your session stays signed in on that device until you sign out.

Needs your input

You need an account created by your administrator. If you were invited by email, open that invite first and set a password. Forgotten password or no access to a property — your administrator resolves both.

After signing in you see every property you can access as a card — location, unit count, and a live operating scorecard — with a portfolio-wide dashboard below.

Open a property workspace

  • On the portfolio page, click a property card.
  • The module grid opens — one tile per area of the property.
What it does

Loads that property's live data and shows the modules you have access to. A small badge on each tile gives a quick status (e.g. balance due, open tickets).

Needs your input

You only see properties you've been granted access to. If a property is missing, ask for access.

Leasing module

Price and fill units.

Open Leasing. It shows vacant units priced against a live compset, a vacancy trend, and — on real properties — your active leases and a New lease form.

  • Open Leasing.
  • Read the compset table next to each vacant unit.
  • Note any “above market” flag.
What it does

Compares your asking rent to nearby comparable units so you can set a competitive price. This is guidance — it doesn't change the rent by itself.

Needs your input

You decide the final rent and enter it when you create the lease. Compset reflects the market data on file; if comps look stale, flag it to your manager.

One form sets up everything.

  • In Leasing on a real property, open the New lease card.
  • Enter resident first & last name and email.
  • Enter unit number, base monthly rent, and deposit amount.
  • Enter lease start and end dates.
  • Click Create lease & collect deposit.
What it does

In one step this records the resident, creates the lease, marks the unit occupied, and posts both the deposit and the first month's rent to the property's books automatically — nothing is re-keyed into accounting.

Needs your input

Requires Edit access (View-only can price and review but not create). You must supply the rent, deposit, and dates — the system won't guess them. It does not send the resident a login; that's the separate Invite step next. Deposit amounts and how they're held follow your company/state policy.

Creating the lease emails the applicant a secure link to review and e-sign; your property manager is notified the lease is out for signature.

  • Open LeasingActive leases.
  • Find the lease row and its Portal column.
  • Click Invite.
What it does

Emails the resident a link to set their password, and connects their new login to their unit so they can see their balance and pay online. Afterward the row shows a green Linked badge.

Needs your input

Needs a valid email on the resident and Edit access. Invites are delivered by email — if one doesn't arrive, check the address and re-invite. If the resident is already Linked, the Invite button won't appear.

Sending the invite emails the resident a link to activate their account. Until they accept, they show as invited on your roster.

Email delivery depends on your system's email setup. If invites aren't arriving at all, your administrator may still need to configure the email sender.

  • Update their stage (e.g. approve).
What it does

Advances the applicant in your pipeline and records the decision so the team sees current status.

Needs your input

Approval is your judgment call — review screening first. Converting an approved applicant into a resident is done through New lease, not here.
